German University Application Deadlines: The Full Timeline, Working Backwards

Almost nobody misses a German application deadline because they forgot the date. They miss it because a document they needed took eleven weeks to arrive.

The deadline is not the hard part. The chain of things that must happen before the deadline is.

The two intakes

German universities run two entry points:

Wintersemester — teaching starts around October. This is the main intake. Most programs, most places, most scholarship cycles. Application deadlines commonly fall around 15 July, though many programs close earlier. Sommersemester — teaching starts around April. Far fewer programs open for it, especially at master's level. Deadlines commonly fall around 15 January.

Two warnings. First, those dates are conventions, not rules — individual programs set their own, and competitive ones often close months earlier. Second, some universities use rolling or staged admission. Always verify the deadline on the program page itself.

Work backwards, not forwards

Here is the honest sequence for a winter intake, counting back from a 15 July deadline.

12+ months before — shortlist and check eligibility

Find programs and confirm you actually qualify. This is the step people rush and then regret, because eligibility problems discovered in June cannot be fixed.

Check: degree recognition, required ECTS, subject match, language level, and whether the program needs a Studienkolleg or foundation year. You can search 20,000+ programs by language, tuition and subject to build the shortlist.

10–12 months before — language tests

IELTS, TOEFL, TestDaF and DSH all need booking, preparing and sitting, and results take weeks. If you need to raise your level first, that is months of study, not weeks.

9–12 months before — document verification (APS, if it applies)

This is the step that ruins timelines. Applicants from some countries — including India, China and Vietnam — must have documents verified through an APS office before applying. Processing has run anywhere from several weeks to several months, and appointment waits have been long in recent cycles.

Requirements differ by country and change over time. Check your own country's APS office directly rather than trusting a forum post, and start early regardless.

6–9 months before — certified translations and attestations

Every transcript and certificate generally needs certified translation by a sworn translator, and often attestation or apostille. Universities and embassies are strict about this. Budget weeks, not days, and get more certified copies than you think you need.

4–6 months before — write your documents

Motivation letter, CV, and any required essays. Strong motivation letters go through several revisions, and the letter can carry real weight in the admission decision.

Do not leave this to the final fortnight. This is the part of the application where you have the most control and where rushed work is most visible.

3–4 months before — references

Professors travel, take leave, and are slow in summer. Ask early, give them your CV and a summary of the program, and follow up politely.

2–3 months before — submit

Through uni-assist or directly, depending on the university. Uni-assist processes your documents and forwards them, and that processing takes time — submitting on the final day often means arriving late. Treat the uni-assist deadline as your real deadline.

After the offer — the money and the visa

Two things now run in parallel and both are slow:

• Blocked account (Sperrkonto) — proof of funds for the visa. The required amount is set annually and has risen most years.
• Visa appointment — embassy waits vary enormously by country and season, and can run to several months in busy periods. Book the appointment the moment you have an offer.

Then health insurance, enrolment, and accommodation. Housing in cities like Munich, Berlin and Heidelberg is genuinely difficult; start looking before you arrive.

The mistakes that cost a whole semester

Assuming 15 July applies to your program. Many close in April or May. One unchecked date costs six months. Starting APS after choosing programs. If it applies to you, start it first. It is the longest pole. Booking the visa appointment after arranging everything else. The appointment queue does not care that your paperwork is ready. Applying to only two or three programs. German admissions are competitive and often opaque. Five to eight well-matched applications is a more realistic target than three ambitious ones. Ignoring the summer intake. If you miss winter, check whether your subject runs in summer. It is often a six-month saving over waiting a full year.

A realistic minimum

If you are starting from zero — no language certificate, no verified documents — twelve months before your intended start is comfortable. Nine months is tight but workable. Under six months, you are usually applying for the following intake, and it is better to accept that early and prepare properly than to submit a rushed application that gets rejected.
