Getting a German Student Visa Appointment: How to Actually Find a Slot

The most avoidable way to lose a semester in Germany is this: receive your admission letter in July, start looking for a visa appointment in August, and discover the next available slot is in December.

The appointment queue is a separate problem from the application, it runs on its own timetable, and it does not care that your documents are ready.

Book the appointment before you have the offer

This is the single most useful thing in this article.

At most German missions you do not need an admission letter to book an appointment — you need it at the appointment. Waiting times commonly run from several weeks to several months depending on the country and the season.

So book as early as your mission allows, and treat the booking as an independent task that starts the moment you submit your university applications, not after you hear back. A booked slot you later cancel costs someone nothing. A missing slot costs you six months.

Understand the seasonal squeeze

The winter semester begins in October, and admission letters land across June and July. This means demand concentrates hard from roughly May through August, which is exactly when everyone is competing for the same slots.

The summer semester intake, with its January-ish deadlines, has a smaller and less brutal peak.

If you are applying for a winter start, assume the appointment queue will be at its worst precisely when you need it.

How the booking systems behave

This varies by country — some missions use their own portal, others route through an external service provider — but the practical patterns are consistent:

• Slots are released in batches, not continuously. When a batch drops, it can be taken within minutes.
• Release timing is often predictable once you know it. Local student groups usually know the pattern for your city. Ask.
• Cancellations reappear. Checking daily, at consistent times, genuinely works. Many students get their slot from someone else's cancellation.
• The queue is per mission. If your country has several German missions, check each one, and check whether you are restricted to the one covering your region.

What not to do

Do not pay an agent for a slot. Appointment booking is free. Anyone selling guaranteed slots is either reselling free appointments or running a scam, and some missions cancel appointments they identify as brokered. Do not book several slots to hedge. Duplicate bookings under one passport get cancelled at many missions, and you can lose all of them. Do not skip the document checklist because you were rushing. Arriving with an incomplete file usually means rebooking, back at the end of the queue.

Have the slow things ready before the slot

Once you have the appointment, everything else has to be finished by that date. Two items have long lead times:

Blocked account. Opening and funding a Sperrkonto takes time, and international transfers can be slow. The required amount is set nationally by the Federal Foreign Office and reviewed annually — verify the current figure with your embassy before transferring. Health insurance. You need confirmation of coverage. Public insurers generally issue this quickly once enrolled, but the paperwork chain still takes days.

Also expect: passport with sufficient validity, biometric photos, admission letter, academic transcripts, language certificates, the completed visa form, and your motivation letter where the mission asks for one.

Requirements differ by mission and change. Your embassy's own checklist is the only authority — not a blog, including this one.

If there genuinely are no slots

Ask the university about deferral. Many German universities will defer admission to the next intake if you have a documented visa delay. This is far more common than students expect, and asking early is much better than asking in September. Contact the mission in writing. Some accept documented urgency cases where the semester start is imminent and you hold a confirmed place. Check the summer intake. If winter is lost, moving to April is a six-month setback rather than a twelve-month one.

The timeline that works

• When you apply to universities: find out your mission's booking system and its release pattern
• As soon as booking is permitted: book the earliest available slot
• On receiving your offer: open and fund the blocked account
• Four weeks before the appointment: arrange health insurance, assemble every document
• One week before: check the mission's current checklist again, in case it changed
