How to Apply via uni-assist: Step-by-Step Guide (2026)

uni-assist explained simply — VPD, fees, document upload, processing times, and how to avoid the rejection reasons that hit thousands of international applicants.

What is uni-assist?

uni-assist is the centralized application service used by 170+ German universities. It checks whether your international certificates meet German admission requirements before your application reaches the university.

There are two ways universities use it:

  • Full application via uni-assist — you apply through the My assist portal and uni-assist forwards your application
  • VPD (Vorprüfungsdokumentation) — uni-assist only evaluates your documents and issues a VPD certificate, which you then upload to the university's own portal (common for TU Berlin, and many others)
  • Always check the program page: it tells you whether you need a full uni-assist application or just a VPD.

    Step-by-step: applying through uni-assist

Step 1: Create your My assist account

Register at my.uni-assist.de. Enter your personal data exactly as in your passport.

Step 2: Enter your educational history

Add your school leaving certificate and university degrees. Use our GPA Converter first — if your converted German grade is far above a program's cutoff, don't waste the application fee.

    Step 3: Select your programs

Search for your university + program + semester. Double-check the semester (winter vs. summer) — applying to the wrong intake is an instant rejection.

    Step 4: Upload documents

    Typical checklist:

    • School and university certificates + transcripts (with certified translations if not in German/English)
    • Language certificates (IELTS/TOEFL or TestDaF/DSH)
    • APS certificate if you're from India, China, or Vietnam (full APS guide)
    • CV — use the AI CV Maker for the German format universities expect
    • Motivation letter if the program requires one — generate a program-specific draft with our Motivation Letter tool

    Step 5: Pay the fee

As of recent cycles: €75 for the first application per semester and €30 for each additional one. VPD costs the same as a first application.

    Step 6: Track your status

Processing takes 4–6 weeks (longer near deadlines). uni-assist emails you if documents are missing — check spam weekly.

    Key deadlines

    IntakeTypical deadlineApply by (recommended)
    Winter semester (October)July 15May–June
    Summer semester (April)January 15November–December

Many programs close earlier — always verify on the program page. Since uni-assist needs weeks to process, submitting on deadline day with a document error means missing the intake entirely.

Top rejection reasons (and how to avoid them)

  • Missing certified translations — sworn translator required for documents not in German or English
  • Wrong or missing VPD — the university wanted a VPD, you sent a full application (or vice versa)
  • Grade below cutoff — check the NC and convert your GPA honestly first
  • Missing APS — non-negotiable for India, China, Vietnam
  • Late payment — the application only counts once the fee arrives
  • After you apply

    FAQ

Can I apply to multiple universities?

Yes — most students apply to 5–8 programs. Budget €75 + €30 per extra application.

Do all German universities use uni-assist?

No. Many (e.g. most Bavarian universities, RWTH Aachen for some programs) take direct applications. The program search shows you where to apply.

How long is a VPD valid?

Usually one year — reusable for multiple universities within that time.
